Workflow Visibility Proposal

Keep your proven Excel workflow. Add real-time visibility around it.

Clearline will add a lightweight dashboard and workflow monitor for sample check-in, due dates, receipt summaries, folder/workbook progress, and searchable job history — without disrupting the lab process your team already trusts.

1

Protect what works

Your Excel/VBA tools, reporting process, instrument imports, QC logic, and invoicing workflow stay in place.

2

Add visibility

Your team gets a shared view of job status, due dates, rush work, special instructions, and searchable history.

3

Prove value quickly

Phase 1 starts with check-in, a live dashboard, and a conservative folder/workbook monitoring pilot.

The approach

This is not a full LIMS replacement. It is a visibility layer around the workflow Onsite already uses — designed to reduce status hunting, improve handoffs, and make active work easier to manage.

What Phase 1 includes

Digital check-in

Capture client, project, samples, analyses, due date, rush status, labels, and special instructions in one record.

Live job dashboard

See active work, due dates, in-progress jobs, data ready, in review, reported, reopened, and add-on work.

Receipt summary

Generate an email-ready sample receipt summary from check-in details, while keeping final sending under your control.

Folder/workbook monitor

Watch agreed folders or file names that reliably indicate progress, starting with one or two stable paths.

Special instructions

Surface client-specific requirements, detection limits, rush notes, and handling instructions where they are needed.

Searchable history

Maintain job records, edits, status changes, reopened work, and exports for continuity and audit support.

How the workflow fits together

Samples arrive
Check-in creates work order + labels
Current Excel/VBA workflow continues
Monitor tracks agreed file progress
Dashboard shows current job status

Clear guardrails for Phase 1

Preserved

  • Excel/VBA calculators
  • Instrument imports
  • QC evaluation logic
  • Word/PDF report generation
  • Invoice generation
  • Existing network-drive habits

Not included in Phase 1

No QuickBooks integration, no client portal, no analytical calculation rewrite, no instrument integration, no report-generation rewrite, and no bench-wide tablet/scanning rollout.

Investment and timeline

Phase 1 fixed price

$14,500
Workflow dashboard + folder/workbook monitoring pilot

Milestones

$4,500 kickoff
$5,000 after prototype review
$5,000 at go-live/training

Hosting/support

CTM-managed: $250/mo
On-prem support: $150/mo
No per-user license fees

Weeks 1–2

Prototype check-in, dashboard, receipt summary, and first monitor path.

Weeks 3–4

Build labels, audit history, filters, special instructions, and reopen/add-on handling.

Weeks 5–6

Parallel run, tune fields/statuses, train users, and go live.

Recommended next step

If this direction looks right, we confirm the first monitored folder/workbook path, finalize the check-in fields, and begin the Phase 1 prototype.
